Forwarding & flows

Forward fines automatically to HR, payroll and staffing agencies

Processing a fine doesn't stop at the driver. With flows, Fleetfines forwards the right overviews by itself to the people who need to act on them — every week, for example.

How it works

What is a flow?

A flow is a fixed arrangement you set up once: which fines, to whom and how often. After that it runs by itself.

  • Which fines – all new and outstanding fines, or only those of certain drivers
  • To whom – HR, payroll, an agency or a manager
  • How often – weekly, per pay period or instantly on every new fine
  • In what form – a clear overview that matches your administration

Who it's for

One source, a tailored overview for every recipient

Payroll

Have you agreed with drivers that a fine is settled through payroll? Then payroll receives a complete overview per period: who, which fine, which amount and what has already been paid. No more loose emails just before the pay run.

Secondment and staffing agencies

Do drivers work for you through an agency? Send each agency an automatic weekly overview of the fines of their own people. The agency can recharge straight away and you no longer have to forward anything.

HR & managers

Give HR periodic insight into recurring offences and outstanding fines, as the basis for a good conversation about driving behaviour and safety.

In 4 steps

How we set up a flow

1

Decide on the recipient

Who should receive the overview: payroll, HR, a staffing agency or a manager?

2

Choose which fines to include

All fines, only outstanding ones, or only those of drivers from one agency or department.

3

Choose the rhythm

Weekly is chosen most often. Per pay period or instantly on every new fine is possible too.

4

We set the flow up for you

Setting it up is part of the customisation that comes with the fixed price. After that the flow runs fully automatically.

Handling personal data with care

Fine data is personal data. A flow therefore shares only what the recipient needs: an agency sees only the fines of its own drivers, and every dispatch is recorded in the log of the fine.

Please note: whether and how you settle a fine through payroll depends on the agreements with your employees. This is general information and not legal advice.

Frequently asked questions

Forwarding fines

Can I forward fines to payroll automatically?

Yes. With a flow, payroll automatically receives an overview, for example weekly or per pay period, showing the fines, amounts and payment status per driver.

Do staffing agencies only see their own drivers?

Yes. A flow to an agency contains only the fines of the drivers who work through that agency.

How often is an overview sent?

You decide. Weekly is chosen most often, but per pay period or instantly on every new fine is possible too.

Does setting up flows cost extra?

No. Setting up flows and reports is part of the customisation that comes with the fixed price of €5 per month (excl. VAT).
